Proposal and document generation
In any business that quotes for work, the proposal is the bottleneck nobody schedules. It needs the most senior person, it needs their uninterrupted attention, and it always competes with billable work. So it slips, and the client hears from someone else first.
This is often the single highest leverage system we build, for a simple reason: turnaround time is a competitive variable that most of your competitors are not managing at all. Being the firm that sends a considered, correctly priced proposal the same day is a position, not a convenience.
The system does not invent your pricing. It applies the logic you already use, consistently, drawing on your own past work.
Where it pays
- Quotes go out in minutes, and faster quotes win more work
- A day of writing becomes ten minutes of review
- Every document in your voice, your brand and your numbers
- Pricing logic applied consistently instead of from memory
- Senior time goes back to the work only they can do
In practice
- Your fee model encoded and proven against past proposals
- Scope and boilerplate assembled from your own library
- Branded output produced without manual formatting
- A review and send flow where the human is the author of record
- Reports, engagement letters and renewals from the same machinery
Your pricing logic, encoded
Every firm that quotes has a model, even when it lives in a spreadsheet or in one person's head: rate bands, area or volume multipliers, stage splits, minimums, rounding rules, the adjustment applied to repeat clients.
The first job is to write that model down exactly and prove it reproduces proposals you have already sent, to the dollar. If the engine cannot rebuild a quote you sent last year, it is not ready to write one for next week.
Your words, not generic copy
Scope descriptions, inclusions, exclusions, process explanations and case references come out of your own library of past proposals, selected for the job at hand. The result reads like your firm because it is assembled from your firm's writing rather than generated from nothing.
The human stays the author
The draft lands for review with the numbers already checked and the assumptions listed explicitly. The person sending it edits, approves and signs, and remains the author of record. That matters commercially, and in regulated professions it matters legally.
Where else it applies
The same machinery produces recurring client reports, statements of work, engagement letters and renewal summaries. Anywhere a document is assembled from structured data plus boilerplate plus judgment, most of the assembly can be finished before a person opens it.
Common questions
Will it price things wrong?
It applies your rules rather than its own judgment, and we validate it against proposals you have already sent before it goes near a client. Anything outside the encoded rules is flagged for a person instead of guessed.
Our proposals are all bespoke.
Most firms that say this are right about the top fifth of the document and wrong about the rest. The structure, the process explanation, the inclusions and the fee mechanics repeat. We automate that part and leave the bespoke section to you.
Does it work with our templates?
Yes. Output is generated into your existing branded format, so what the client receives looks exactly like what they receive today, only sooner.
