Real estate
Real estate is the clearest example of why a single industry pitch fails. A residential sales team loses listings to slow follow-up. A commercial leasing brokerage loses weeks turning a landlord mandate into a shortlist. A property management business loses landlords to arrears, maintenance and compliance slipping. The word is the same. The build is not.
This is the sector Odyssey has done the most work in, and the pattern holds every time: the automation that matters is the one aimed at the specific fork the agency actually operates in.
Where it pays
- The first credible response to a listing enquiry is yours
- Landlord mandates turn into shortlists in minutes
- Vendor reporting stops eating the agent's week
- Arrears and renewals worked consistently across the rent roll
- Compliance dates tracked per property, not per person
In practice
- Enquiry qualification and a sixty second response with a booking link
- Appraisal briefs built from comparable sales automatically
- Mandate intake, matching and ranked shortlist generation
- Automated vendor reporting from live listing activity
- Arrears ladders, renewal sequences and compliance watchers
Where the money leaks
- Listing enquiries that arrive while the agent is at an open home
- Appraisals given and never followed up
- Landlord mandates worked against a mental list of tenants
- Vendor reports assembled by hand every week
- Arrears chased inconsistently across a rent roll
- Compliance and inspection dates that slip until they are fines
Residential sales: the first responder wins
An enquiry on a listing is qualified and answered in under a minute with an appraisal booking link, and the agent is briefed with comparable sales before they call back. Post appraisal follow-up runs on a cadence rather than on whoever happens to remember.
Commercial leasing: mandate to match
A landlord mandate is turned into structured requirements and matched against available space and known tenant demand, producing a ranked shortlist and the agent tasks to work it.
This collapses a multi week manual hunt into minutes, and it is the system Odyssey has taken furthest in production.
Property management: the recurring leak
Maintenance requests triaged and dispatched with a landlord approval threshold. Arrears worked on a reminder ladder. Lease expiries surfaced at ninety, sixty and thirty days. Inspections scheduled and reported. Safety compliance tracked per property.
Door count is only worth what retention makes it, and retention is almost entirely a process question.
Where we would start
It depends entirely on the fork, which is why the first conversation is a mapping exercise rather than a pitch. For a residential sales team it is speed to lead and appraisal follow-up. For a commercial leasing brokerage it is mandate intake and matching. For a rent roll it is arrears and maintenance.
Agencies that run more than one of these usually want all three, and the right answer is still to build one properly and let it prove itself before the next starts. A half finished system in three departments is worse than a finished one in a single department.
Vendor reporting is the common quick win across sales and leasing: high frequency, zero judgment, and the thing vendors judge the agency on.
Common questions
Which fork should we automate first?
Whichever one is currently costing you a deal a month. In practice that is speed to lead for sales teams, matching for commercial leasing, and arrears or maintenance for a rent roll.
Do you work with the major portals?
We work with the data your agency legitimately holds and the portals you have a relationship with. Where a portal cannot be integrated we build around it rather than pretending otherwise.
Our agents will not use it.
That is the right thing to worry about. It is why systems write into the CRM your agents already open, and why the output is a briefed phone call rather than another dashboard to check.
